This Privacy Policy explains how Hatch Coding ("we", "our") collects, uses, and safeguards personal information when you use the Services.

Account data, such as your Name, email, phone number, and business address. This is to contact you as a current or prospective customer.

Usage data, such as project files, written code edit suggestions, meeting transcripts and recordings, and emails. This is to provide and improve our service quality.

Payment data, such as billing name, address, last 4 digits of card. This is to process transactions.

3. How We Use Information

• Operate and secure our Custom Studio service
• Personalise project progress tracking and internal standards of work
• Process payments and send invoices
• Email updates, with opt-out
• Comply with legal obligations

4. Legal Bases (GDPR)

Processing is based on contract (providing the Services), consent (marketing emails, child accounts), legitimate interest (security, analytics), and legal obligation.

5. Sharing & Disclosure

We share information with:

• Service providers: we use the Stripe payment processor and Hubspot CRM software to enhance your service experience.
• Legal authorities: where required by law or to protect safety.

We never sell personal data.

6. Security

We employ HTTPS, encryption in transit, role-based access, and regular penetration testing. No system is 100% secure, so we encourage strong passwords and two-factor authentication where available.

7. Data Retention

Account data is kept while the account is active. Back-ups and logs may persist for up to 30 days. We delete or anonymise inactive accounts after two years of non-use, unless otherwise required.

9. International Transfers

Data may be processed in Canada, the United States, or other jurisdictions where we or our providers operate. We rely on Standard Contractual Clauses for EU transfers.
